Bookkeeper/Contracts Administrator

Spy Pond Partners, a management consulting firm in Arlington, Massachusetts, has an opening for a bookkeeper with the ability to administer contracts and subcontracts and manage other HR-related activities. Spy Pond Partners is a small firm that provides a wide range of organizational improvement, research, decision support, governance, and data management work for state, federal, and local transportation agencies.

Responsibilities Include

  • Post and pay vendor invoices, employee expenses and subcontractor bills in QuickBooks
  • Prepare payroll input to outside payroll service
  • Review employee timesheet data
  • Prepare company invoices to clients, including progress reports and accounts receivable and cash management
  • Review and process contracts with clients, including insurance certificates
  • Prepare agreements for SPP subcontractors
  • Prepare periodic financial statements, project cost input, and management reports
  • Support human resources functions: payroll, FSA, 401k, and other benefits enrollments
  • Manage company certifications and insurance policies
  • Interface with outside CPA for annual tax return preparation; reconcile accounts

Minimum Education

  • Associate’s degree in accounting or related field

Essential Skills

  • Strong attention to detail
  • Understanding of accounting best practices and procedures
  • Ability to communicate clearly and effectively

  • Proficient with Excel and Word
